An AI chatbot sounds like modern customer service: always available, friendly and fast. For small businesses it can really help – but only if the bot has clear tasks and is integrated legally and carefully. Simply adding a ChatGPT widget to a website can lead to wrong answers, privacy issues and disappointed customers.

A chatbot needs a narrow job. For small companies it is rarely a complete customer service team. It works best as a digital reception desk: answering frequent questions, explaining services, showing price ranges and collecting contact details for a callback.
Good use cases are repeated questions with clear answers: prices, service area, documents needed for a first appointment, available consultation times or project process. Risky advice, medical or legal assessments and binding quotes should be handed over to a human.
A chatbot is worth it when your website receives enough repeated questions or missed enquiries. If several visitors per week ask the same things, or evening and weekend enquiries go unanswered, a bot can save time and protect leads. If the website has very little traffic, visibility comes first.
Research by Bitkom shows that AI is often used in customer contact in German businesses, while many consumers still value human help. The bot should therefore never replace phone, email, forms or WhatsApp. It is an additional entry point, not the only door.
The price range is broad because “chatbot” covers very different products. Simple SaaS widgets often start in the low double-digit monthly range and may be enough for basic questions from website text. A properly configured AI chatbot with knowledge base, lead capture, reporting and tone adjustment usually needs setup plus a monthly fee.
Custom systems with CRM, calendar or shop integration cost significantly more. Current 2026 market guides commonly place individually built AI chatbots roughly between €2,500 and €10,000 for setup, depending on data, integrations and security. A small start is usually best: FAQ and enquiry capture first, automation later.
A website chatbot may process personal data: name, email, phone number, request, IP address and chat history. Your privacy policy must explain the chatbot: purpose, legal basis, provider, retention, recipients and user rights. If a provider runs the bot for you, a data processing agreement under Article 28 GDPR is usually required.
The bot should ask only for necessary data. Visitors should be told not to enter sensitive information unless needed. Practices, clinics, law firms and care providers need extra caution because confidential data can easily appear in the chat.
Since 2 August 2026, key transparency obligations of the EU AI Act are being enforced. For website chatbots the core point is simple: users should know when they are interacting directly with an AI system. For small businesses this means clear disclosure, not panic.
A clean chatbot says at the beginning that it is an AI assistant, what it can do and where its limits are. Example: “I am an AI assistant and answer general questions about our services. A human reviews binding quotes.” This is also good for trust.
Technically there are two routes. The quick route is an external widget: paste code, adjust colours, upload a knowledge base. It is fast but can complicate privacy, performance and control. The cleaner route is closer to the website: content comes from maintained pages and FAQ, enquiries go to your inbox or CRM, analytics remain data-minimal.
Maintainability matters most. A bot with old prices or invented services harms trust. The knowledge base should come from clear website content, not random PDFs. Start small: define one job, measure the result and expand only if it works. If the bot brings no useful enquiries after four weeks, it was a cheap test. If it answers questions and collects contact requests, you can build on it.
